  • Pupil records: Maintain accurate pupil information, emergency contacts and other school records using the school''s management information system.
  • Attendance administration: Support daily attendance recording, follow up unexplained absences in line with school procedures and refer concerns to the relevant member of staff.
  • Parent and carer communication: Prepare and distribute letters, messages, forms and reminders, ensuring information is clear, accurate and sent on time.
  • General office support: Undertake data entry, filing, scanning, photocopying and document preparation, maintaining organised electronic and paper records.

  • Meetings and events: Help coordinate appointments, calendars, room bookings, school events and parent meetings; prepare documents and take notes when required.
  • Finance administration: Support purchase orders, invoice processing, payment records and stationery ordering where these duties form part of the role, following approval procedures.
  • Support for school staff: Provide administrative assistance to the office manager, school business manager and leadership team as required.
  • Confidentiality and safeguarding: Handle sensitive information securely, complete required training and report safeguarding concerns through the school''s agreed procedures.

  • Previous experience in administration, reception or a customer-facing office role, with transferable experience welcomed.
  • Strong organisational skills and the ability to manage interruptions, prioritise tasks and meet deadlines.
  • Clear written and verbal communication, with a professional and approachable telephone manner.
  • Confidence using Microsoft Word, Excel, Outlook and electronic record systems, alongside a willingness to learn new software.
  • Accurate data entry, good attention to detail and the ability to check work carefully.
  • The ability to handle confidential information sensitively and follow information-handling procedures.
  • A reliable, flexible approach and the ability to work both independently and as part of a team.
