Are you a highly organised coordinator who thrives in a busy environment where there is always plenty going on?
We are recruiting for a Project & Operations Coordinator to join a successful and established company based in Uxbridge.
This is a fantastic role for someone who enjoys being at the heart of a business, coordinating people, schedules, suppliers and projects and making sure everything happens when it should.
It is a genuinely varied position and would suit someone who is proactive, exceptionally organised and confident managing several priorities at once.
You''ll need to be comfortable working in an environment where plans can change, urgent requests come in and priorities need to be reassessed quickly – all while keeping the day-to-day administration accurate and on track.
What will you be doing?Your role will include:
- Setting up new jobs and maintaining accurate project records and documentation
- Supporting Project Managers with the coordination of multiple projects
- Managing schedules, bookings and availability
- Coordinating internal and external personnel
- Monitoring deadlines and following up outstanding actions
- Keeping schedules and project information accurate and up to date
- Dealing with last-minute changes and finding practical solutions
- Preparing quotations and updating costs
- Obtaining quotations from suppliers and subcontractors
- Raising purchase orders
- Assisting with invoices, purchasing and cost queries
- Arranging travel, accommodation and other requirements when needed
- Maintaining training, qualification and compliance records
- Preparing and updating project and compliance documentation
- Liaising with colleagues, clients and suppliers
- Answering telephone calls and responding to email enquiries
- Providing general office and administrative support to the wider team
Above all, we need someone who is very organised and good at prioritising.
You will ideally have previous experience within a busy operations, project coordination, scheduling or administrative role where you have been responsible for keeping multiple tasks moving at the same time.
You should have:

- Experience coordinating multiple tasks, projects or schedules
- The confidence to prioritise your own workload
- Strong attention to detail
- A calm approach when priorities suddenly change
- Excellent communication skills
- Confidence dealing with a wide range of people
- Good problem-solving ability
- A proactive, "I''ll sort it" approach
- Good Microsoft Office skills
- The ability to learn new systems quickly
- A reliable and flexible attitude
Previous experience with quotations, purchase orders, scheduling, project administration or supplier coordination would be particularly useful.
The personThis role will really suit someone who likes to be busy.
You may currently be working as an Operations Coordinator, Project Coordinator, Project Administrator, Scheduling Coordinator, Office Coordinator or Senior Administrator and be looking for a position offering more responsibility and variety.
You won''t be someone who needs every day mapped out in advance. You''ll enjoy solving problems, keeping people organised and making sure nothing gets missed.
Salary: £30,000, with some flexibility for the right person.
