School Office Administrator

Responsibilities
To manage pupil and staff data on local and cloud-based systems, assist in the efficient running of the school office and step in for the school receptionist when absent.Regularly and when necessary, update and maintain pupil dataRegularly and when necessary, update and maintain staff dataAdministrate attendance registers - electronic and paper (when necessary) - and follow up on pupil absences as required by the PrincipalComplete statistical returns in a timely and accurate fashion.Administrate the pupil attainment data system, ensuring accurate records are maintainedSubmit attainment and other pupil data to national and local bodies and organisations such as the DfE and the local authorityTo assist staff with the ordering and receipt of supplies and stockOpen, sort and distribute post in the Administrative Assistant''s absenceCommunicate with local authority and other external agencies and send and receive files using encrypted messaging systemsDeal with clerical work in connection with new pupils and pupil transfersEnsure GDPR compliance in connection with staff and pupil dataAdministrate the academy''s privacy noticesOrganise and support the running of annual visitors such as school photograph companies, the school nurse and the dental teamSupport the senior leadership team with administrative requirementsGenerate electronic, numerical reports for the Principal and Heaf of School based on data such as attendance, staff absence and parental consentUndertake administrative duties in respect of pupil characteristics such as the pupil premium and free school mealsBe a named first aiderAdministrate booking systems such as for parents evenings and performancesProduce lettersUndertake filingAssist with the collection of money for educational visits and maintain accurate recordsProvide a warm welcome for parents, visitors and colleagues and deal with their requests in an efficient and professional mannerAnswer the telephone in a friendly, professional and efficient manner and record and pass on messages as appropriateOperate academy phone systemsLiaise with support organisations such as IT and telephone support to ensure the smooth running of these systems across the schoolEnsure visitors sign in and follow procedures for safeguarding and risk assessmentsTo liaise with the parent-teacher associationTo oversee the organisation of any volunteersTo maintain records of staff and governor training, including health and safety and safeguardingParticipate in training, other learning activities and performance development as requiredTo undertake any other duties of a similar level and responsibility as may be required.To have due regard for safeguarding and promoting the welfare of children and young people and to follow the child protection procedures adopted by the schoolEnsure all information is treated confidentially and have absolute discretion at all times
