Pertemps are currently recruiting for a Fleet Administrator to join the Fleet External Maintenance Team on behalf of our long-standing client, Royal Mail.
This is a fantastic opportunity to become part of a busy and collaborative team responsible for keeping Royal Mail’s fleet on the road. Working closely with Maintenance Controllers, Control Administrators, workshops and vehicle operators, you’ll play an important role in making sure vehicles get the maintenance and repairs they need, when they need them.
🔧 What will you be doing?
The main focus of the role will be within the Bookings Team, where you’ll coordinate vehicle maintenance and repair appointments across Royal Mail workshops and external providers.
Your day-to-day responsibilities will include:
- 📞 Taking and processing maintenance booking requests from Royal Mail vehicle operators.
- 📅 Scheduling appointments with internal Royal Mail workshops and approved external providers.
- 💻 Accurately recording and updating booking information using M5, Royal Mail’s internal fleet management system.
- 🤝 Liaising with workshops, operators and internal teams to ensure appointments are arranged quickly and efficiently.
- 📝 Keeping records accurate and ensuring all administration is completed within required timescales.
- ⚡ Working at pace to process bookings quickly and help keep VOR (Vehicle Off Road) levels as low as possible.
- 🚛 Supporting the wider Fleet External Maintenance Team and assisting with other duties as required.
👀 What are we looking for?
We’re looking for someone who is organised, proactive and comfortable working in a busy environment. You’ll need to be confident communicating with different teams, managing multiple requests and keeping on top of changing priorities.
You should have:
- Good IT and database skills.
- Confidence using Microsoft Office, particularly Outlook, Excel and Word.
- The ability to learn new systems quickly and accurately.
- Excellent organisation and attention to detail.
- A positive, collaborative approach and the ability to work well as part of a team.
- Flexibility and the ability to adapt when priorities change.
- The ability to remain calm and efficient when working under pressure.
- Previous experience within a fleet, transport, logistics or vehicle maintenance environment would be advantageous, but is not essential.
Location: Future Walk, Chesterfield
Working pattern: Hybrid – 4 days in the office and 1 day working from home
Work-from-home day: Flexible
Pay Rate: £13.52 per hour
